Visiting Scholar Procedure

Caution
Important points to note:
  • Must start process 4 to 6 months prior to expected visit
  • There are 3 total approvals
    • 2 approvals before extending a tentative invitation.
    • The last approval is required before committing to the visit.
    • Must get independent contractor approval (in Step 3) before submitting a spend authorization
  • If it will involve more than our college must get AVP approval
  • Foreign Visiting Scholars
    • Must have correct visa status
    • Can not be doing professional activity for more than 9 days

Step 1: Dept. Visiting Scholar Committee Approval

Before Extending an Invitation

Honorarium guide 
  • Short visit 2-5 days
    • $500 - 1 lecture and 1 class visit- most common
    • 750 - max and would also need to include multiple class visits and research group visits
  • Long visit - 6+ days 
    • $1000 - needs to include multiple lectures and class visits
    • For a larger honorarium, consult with the Visiting Scholar Committee Chair and Department Chair

Step 2: Dean’s Approval

After Committee approval and before extending the invitation

If it will involve more than our college you must get AVP approval
  • The Dean will take the request to the AVP using the above Hum Funding form
After receiving institutional approval:
  • You can extend an invitation pending financial approval and visa clearance
  • You can start the Spend Authorization, but do not book their travel until after the final approval.

Step 3: Finance Approval

Before booking travel for the trip, you must get independent contractor approval and visa clearance.
